Scheduled preventative service

Every commercial espresso machine is on a wear curve. Seals stiffen, pressure switches drift, water filters silt up, descaling becomes overdue. Most cafe breakdowns are not random - they are a known-wear part finally giving out, usually at the worst possible time. Scheduled service is the cheap version of fixing all of that before it stops the morning rush.

What a scheduled service includes

• Group head service - seals, screens, dispersion plates checked and replaced as needed.
• Pressure calibration - brew pressure and steam pressure measured and adjusted to spec.
• Temperature check - group temperature stability across multiple shots.
• Water filter change - whichever filter system you run (BWT, Pentair, Brita, in-line softener) checked and changed.
• Descale where required - based on water hardness and run hours, not on the calendar alone.
• Grinder check - burr wear inspection, hopper and chute cleaning, dose calibration.
• Steam wand and drip tray - seal check, steam tip clearance, drainage path.
• Service report - what was checked, what was replaced, what is on the watch list for next visit.

Cadence

For a busy cafe pulling 200+ shots a day, quarterly is the right interval. Lower volume sites can stretch to twice a year. The model is flat-rate per visit so the cost is predictable and you do not get surprise invoices.

The economics

A breakdown call-out, lost morning revenue, emergency parts at full price and stressed staff costs significantly more than a planned service. Cafes on a service contract see almost no unscheduled downtime - that is the whole point.
